Learn How to Change Colors in Google Calendar

Understanding Google Calendar Color Features

Google Calendar offers several color-related features that allow you to organize and personalize your calendar view. These features help you distinguish between different types of events, separate work commitments from personal activities, and create a visual system that makes your schedule easier to read at a glance. The color system in Google Calendar includes options to color individual events, color entire calendars, and use color-coding to categorize different aspects of your life.

The platform provides a palette of predefined colors that you can apply to events and calendars. Each color has a distinct appearance, ranging from vibrant shades to more muted tones. When you color-code your calendar, the colors appear in multiple views including day view, week view, month view, and agenda view. This consistency means your color system works the same way regardless of how you choose to display your calendar.

Many users find that color-coding improves their ability to quickly identify priorities and event types. For example, a user might assign blue to work meetings, green to personal appointments, red to important deadlines, and orange to social events. This visual organization can reduce the mental load of processing your schedule, as your brain can quickly identify event categories without reading every event title.

Google Calendar's color features work across all devices where you access your calendar—desktop computers, tablets, and smartphones. This means your color choices remain consistent whether you check your calendar on your work computer or review upcoming events on your phone during your commute.

Practical takeaway: Before diving into the technical steps, think about how many color categories you need. Most people find that 4-6 color categories work well for organization without becoming overwhelming.

How to Change the Color of Individual Events

Changing the color of a single event in Google Calendar is a straightforward process that takes just a few clicks. To change an event color on a desktop computer, start by opening Google Calendar in your web browser and locating the event you want to modify. You can find events by scrolling through your calendar view or using the search function. Once you've located the event, click on it to open the event details.

When you click on an event, a popup window or detailed view will appear showing the event information. Look for a color option within this view. On desktop, you'll typically see a colored circle or dot near the event title. Next to this circle, you may see a small arrow or dropdown menu. Click on this element to reveal the color palette. Google Calendar displays approximately 24 color options organized in a grid format. Browse through the available colors and click on the color you want to assign to this event.

If you're using the full event editing screen rather than the quick popup, you may need to click an "Edit event" button or option to access more detailed settings where the color selector is located. The process is essentially the same—look for the color selector and choose from the available palette. After selecting your color, the change takes effect immediately. You don't need to save or confirm the change in most cases, as Google Calendar updates the event color automatically.

On mobile devices, the process is similar but adapted for smaller screens. Open the Google Calendar app on your phone or tablet, find the event, and tap it to open the event details. Look for the color option, which is usually represented by a colored circle or a "Color" label. Tap this option to open the color palette, select your desired color, and the change will save automatically.

One important note: changing the color of an individual event only affects that specific event, not other events or the entire calendar. If you want to change multiple events to the same color, you'll need to repeat this process for each event, or you can consider coloring the calendar itself, which affects all events in that calendar automatically.

Practical takeaway: Use individual event coloring for one-off situations—highlighting a particularly important meeting, marking a vacation day differently, or temporarily organizing related events that span multiple calendars.

Coloring Entire Calendars for Broad Organization

Google Calendar allows you to assign a color to an entire calendar rather than individual events. This approach is particularly useful if you maintain multiple calendars for different purposes. For example, you might have a work calendar, a personal calendar, a family calendar, and a friends' calendar. By assigning a unique color to each calendar, you can instantly see which calendar an event belongs to, making it easier to manage different areas of your life.

To color an entire calendar on the desktop version, locate the calendar name in the left sidebar where your calendars are listed. Hover your mouse over the calendar name until you see a three-dot menu icon appear to the right of the calendar name. Click this menu icon to reveal options including "Settings," "Hide," and "Color." Select the "Color" option from this menu. A color palette will appear, showing the available color choices. Click on the color you want to assign to this calendar, and all events in that calendar will immediately display in the color you selected.

If you can't find the three-dot menu, try right-clicking on the calendar name. This often reveals a context menu with similar options. Some versions of Google Calendar may display a colored circle directly next to the calendar name, which you can click to access the color palette. The interface varies slightly depending on which version of Google Calendar you're using and which browser you're using.

On mobile devices, open the Google Calendar app and look for your list of calendars, typically found in the menu or sidebar. Find the calendar you want to color, and look for a three-dot menu or settings option next to it. Tap this option and select "Color" from the menu. Choose your preferred color from the palette that appears, and the change will apply to all events in that calendar.

When you color an entire calendar, the color applies to every event within that calendar. If you later want to change the color of a specific event within a colored calendar to a different color, you can do so by coloring that individual event, which will override the calendar's default color for just that event. This layered approach gives you flexibility—you can have a base organization system with colored calendars and then make adjustments to specific events as needed.

Practical takeaway: Assign colors to calendars based on major life categories or responsibilities. A typical setup might be: red for work, blue for personal/family, green for health/fitness, and purple for hobbies/social activities.

Practical Color-Coding Strategies for Different Use Cases

Effective color-coding systems vary based on how you use your calendar. Consider your specific needs when deciding on your color strategy. Someone managing a busy professional calendar might use colors differently than a student managing coursework and social activities, which differs from a parent coordinating family schedules.

For professionals managing multiple projects, consider assigning each project its own calendar and color. If you work on Project Alpha, Project Beta, and Project Gamma, creating separate calendars for each and coloring them differently allows you to see at a glance how much time you're spending on each project. This visibility can help with workload management and identifying scheduling conflicts between projects. Similarly, you can create separate calendars for client meetings, internal meetings, and one-on-one meetings, coloring each differently to understand your meeting patterns.

Students might organize their calendars by subject or type of commitment. Create calendars for each class and color them distinctly. You might use red for classes with upcoming exams, blue for regular classes, yellow for study group meetings, and green for extracurricular commitments. This system helps you visualize your academic workload and time commitments at a glance.

Parents coordinating family schedules often benefit from creating calendars for each family member and assigning each person a distinct color. Additionally, you might create separate calendars for different types of family events—one for appointments (doctor, dentist), one for school events, one for extracurricular activities, and one for family events. This granular approach helps prevent double-booking and makes it easier to identify what needs attention.

Some users prefer organizing calendars by time sensitivity. They might use red for urgent or time-sensitive items, orange for important but less urgent items, yellow for regular commitments, and blue for flexible or low-priority activities. This system emphasizes what needs your immediate attention versus what can be scheduled more flexibly.

Another approach focuses on energy levels. If you notice you have more energy at certain times of day, you might color-code events by the energy they require. High-energy tasks in red, moderate-energy tasks in yellow, and low-energy tasks in blue. This helps you schedule demanding work during your peak energy periods and
