Learn About Proton Mail Features and How It Works

What Proton Mail Is and How It Differs From Other Email Services

Proton Mail is an email service created by Proton Technologies, a company founded in 2014 by scientists at CERN (the European Organization for Nuclear Research). Unlike many mainstream email providers, Proton Mail focuses on protecting user privacy through encryption technology. The service operates from Switzerland, which has strong data protection laws that differ from regulations in the United States and European Union.

Traditional email services like Gmail, Outlook, and Yahoo scan your emails to build advertising profiles and show you targeted ads. When you send an email through these services, the content travels across multiple servers and can be read by the email provider's systems. Proton Mail takes a different approach by encrypting your messages before they leave your device, meaning the company itself cannot read your emails even if requested by authorities.

Proton Mail offers both free and paid plans. The free version includes a ProtonMail address, 500 MB of storage space, and support for one folder label. Paid plans start at approximately $5 per month for the Plus plan, which includes 200 GB of storage, custom domain support, and advanced features. The Proton Unlimited plan costs around $12.99 per month and includes access to Proton Mail, Proton Drive, Proton Calendar, and Proton VPN services.

The platform has grown significantly since its launch. As of 2024, Proton Mail reports over 100 million registered users worldwide. The service is popular among journalists, activists, business professionals, and people concerned about data privacy. Understanding how Proton Mail works requires learning about encryption, which protects your messages from being intercepted or read by unauthorized parties.

Practical takeaway: Research whether Proton Mail's privacy-focused approach matches your communication needs. Consider your storage requirements and budget when comparing the free version against paid plans.

Understanding End-to-End Encryption in Proton Mail

End-to-end encryption is the core technology that makes Proton Mail different. This system uses two types of encryption keys: a public key and a private key. Think of it like a mailbox that only you have the key to open. When someone sends you an encrypted email, they use your public key to lock the message. Once locked, only your private key—which stays on your device and never leaves Proton's servers—can unlock and read it.

When you create a Proton Mail account, the system generates these encryption keys on your device before anything is uploaded to Proton's servers. This is crucial because it means Proton never has access to the private key needed to decrypt your messages. Even if hackers broke into Proton's servers or if a government demanded your emails, the encrypted messages would remain unreadable without your password and private key.

Here's how the encryption process works in practice: You compose an email and click send. Your device encrypts the message body, subject line, and attachments using the recipient's public key. The encrypted message travels to Proton's servers, which store it in encrypted form. When the recipient opens the email in their Proton Mail account, their device uses their private key to decrypt the message. Throughout this entire process, Proton's servers never handle readable versions of your message content.

When you send an email to someone who also uses Proton Mail, end-to-end encryption happens automatically. If you send an email to someone with a Gmail or Yahoo account, Proton offers an option called "password-protected" emails. You set a password for the message, and the recipient receives a link to a secure webpage where they enter the password to read your message. This provides protection even though the recipient's email provider doesn't use Proton's encryption system.

Practical takeaway: Understand that end-to-end encryption protects your messages, but your email metadata—such as the recipient's address and send time—may still be visible to Proton's systems and potentially to internet service providers.

Account Creation, Storage, and Basic Features

Setting up a Proton Mail account involves several steps designed to protect your privacy from the beginning. You do not need to provide a phone number, and you can create an account using only an email address and password. This is different from Gmail and other services that often require phone verification. Proton Mail can be used with or without a password manager, though using one is recommended for security.

When you register, you create a username that becomes your Proton Mail address (example: username@protonmail.com). The free plan provides 500 MB of storage space, which roughly equals about 250 plain-text emails or fewer if your messages contain images and attachments. This storage limit is notably smaller than Gmail's free 15 GB, making it suitable for users who prefer occasional email use or who want to delete old messages regularly.

The Plus plan increases storage to 200 GB and costs approximately $5 per month. This plan also allows you to create and use a custom domain—meaning you could have an email address like yourname@yourcompany.com instead of a @protonmail.com address. The Professional plan, at about $7.99 per month, supports three custom domains and is designed for small business users. The Proton Unlimited plan combines email, calendar, drive, and VPN services for around $12.99 per month.

Proton Mail's interface includes several organizational tools. Users can create labels and folders to organize messages, though the free plan limits you to one folder label. The search function allows you to find messages by sender, subject, date, or keywords. Proton Mail also includes spam filtering, though you can manually mark emails as spam to train the system. Unlike Gmail, Proton Mail does not scan your messages to show advertisements, making the interface cleaner and less cluttered.

Practical takeaway: Before committing to a paid plan, test the free version for one to two months to determine whether the storage space and features fit your communication patterns.

Security Features Beyond Encryption

Proton Mail includes security features beyond basic encryption. One important feature is two-factor authentication (2FA), which adds an extra layer of protection to your account. When 2FA is enabled, logging in requires both your password and a second verification method—usually a code generated by an authenticator app on your phone or a hardware security key. This means even if someone learns your password, they cannot access your account without this second factor.

The service offers multiple 2FA options. You can use an authenticator app like Google Authenticator or Authy, which generates time-based codes that change every 30 seconds. Proton Mail also supports WebAuthn, which works with hardware security keys like Yubikey devices. A backup method involves registering your phone number to receive SMS codes, though this is less secure than authenticator apps since SMS messages can be intercepted.

Proton Mail's data center infrastructure is designed for security and privacy. The company maintains multiple data centers in Switzerland and other privacy-friendly jurisdictions. Servers are housed in facilities with restricted physical access, surveillance cameras, and security protocols. Unlike many tech companies that store data in the United States, Proton's location in Switzerland means user data is governed by Swiss privacy laws rather than U.S. regulations like the PATRIOT Act.

The platform includes address verification features. When you receive an email from another Proton Mail user, you can verify their encryption keys to confirm the message truly came from that person and wasn't intercepted or spoofed. This prevents man-in-the-middle attacks where someone impersonates a sender. Proton Mail also indicates whether emails are encrypted or not, and displays warnings if there are issues with email signatures or encryption keys.

Practical takeaway: Enable two-factor authentication immediately after creating your account, and choose an authenticator app rather than SMS for the strongest protection.

Integration With Other Services and Device Compatibility

Proton Mail works on computers, smartphones, and tablets through multiple methods. The web version is available at protonmail.com and works in any modern web browser. This version provides full access to all features and uses end-to-end encryption through the browser. Proton also offers native mobile apps for iOS and Android devices. These apps mirror the web version's functionality and can send and receive encrypted emails just as effectively as the desktop version.
