Understanding Password Basics and Why They Matter

A password is a secret code that you create and use to protect your accounts online. Think of it like the key to your house—if someone else has your key, they can enter whenever they want. Your passwords work the same way for your email, bank accounts, social media, shopping sites, and other online services.

According to a 2023 report from Verizon, approximately 86% of data breaches involved stolen passwords or weak authentication methods. This means that millions of people experience problems each year because their passwords weren't strong enough or were stolen. When someone gains access to your password, they can read your personal messages, spend your money, apply for credit in your name, or steal your identity.

Passwords are one of the most important lines of defense you have against criminals. Even though passwords can seem like a small thing, using strong ones makes an enormous difference in keeping your accounts safe. Most people don't realize just how vulnerable they are until something goes wrong.

The challenge is that people need passwords for dozens of accounts. According to a 2023 Microsoft survey, the average person manages about 154 passwords across their various accounts. That's far too many to remember, so most people do one of these risky things: they use the same password for many accounts, they write passwords down on sticky notes, or they use simple passwords that are easy to guess.

This guide provides information about password management—what it is, how it works, and what to consider when deciding whether to use a password manager. Understanding the basics helps you make informed decisions about protecting your online accounts.

Practical Takeaway: Write down how many online accounts you currently use that require a password. This gives you a sense of why managing passwords is challenging and why many people turn to password managers.

What Password Managers Do and How They Work

A password manager is software that stores and organizes all your passwords in one secure location. Instead of trying to remember 150+ passwords, you only need to remember one strong password—the master password that opens your password manager. The manager then keeps track of all your other passwords and can fill them in automatically when you visit websites.

Password managers store your passwords using encryption, which is a mathematical method that scrambles information so that only someone with the correct key can read it. Think of encryption like a locked safe. Even if a criminal steals the safe, they cannot open it without the combination. The same concept applies to password managers—your passwords are encrypted and stored securely.

Here's how the process typically works: When you visit a website, the password manager recognizes it and offers to fill in your username and password. You approve this action with a click or a fingerprint scan, and the manager enters your login information. You never type out your password, and the website never sees your master password. This process saves time and reduces the chance you'll accidentally type your password where someone else can see it.

Most password managers include additional features beyond just storing passwords. Many can generate new, strong passwords for you. When you create an account on a new website, the manager can create a random combination of letters, numbers, and symbols that would be nearly impossible for a criminal to guess. Some managers also check whether your passwords have been exposed in data breaches. For example, if hackers steal passwords from a major company, password managers can alert you that one of your passwords is no longer safe and suggest changing it.

Password managers also work across multiple devices. If you use a computer, tablet, and phone, you can sync your passwords across all of them. This means you can log into your accounts from any device without having to remember the password each time.

Practical Takeaway: When you use a password manager, write down your master password and store it somewhere very safe—like a locked drawer at home. If you forget your master password, most managers cannot recover it for you, and you'll be locked out of your account.

Types of Password Managers and Their Differences

Password managers come in different varieties, and understanding the differences helps you decide what might work best for your situation. The main categories are cloud-based managers, local managers, and browser-based managers.

Cloud-based password managers store your passwords on company servers on the internet. Examples include Bitwarden, 1Password, and LastPass. The advantage of cloud-based managers is that you can access your passwords from any device with an internet connection, as long as you sign in with your master password. The disadvantage is that your passwords are stored on someone else's computer, which some people feel uncomfortable about. However, because passwords are encrypted before leaving your device, the company running the password manager cannot read them, even if they wanted to.

Local password managers store your passwords only on your computer or phone. They don't sync to the internet. The advantage is that your passwords never leave your device, which feels safer to many people. The disadvantage is that if your device breaks, gets stolen, or malfunctions, you could lose all your passwords if you don't have a backup copy. Local managers are less convenient for people who use multiple devices.

Browser-based password managers are built into web browsers like Chrome, Firefox, Safari, and Edge. They work similarly to cloud-based managers but are designed specifically for the browser you use. They're convenient because they're already installed and require no additional setup. However, they typically have fewer advanced features than standalone password managers.

Some people also use hybrid approaches. For example, you might use your browser's built-in password manager for basic storage while also maintaining a local password manager on your computer for sensitive accounts like banking or email.

Price is another difference between password managers. Some are completely free, such as Bitwarden and browser-based managers. Others charge a yearly fee, typically ranging from $20 to $60 per year. Premium versions often include features like breach monitoring, VPN services, or additional storage.

Practical Takeaway: Make a list of which devices you use regularly (computer, phone, tablet, etc.). This helps determine which type of password manager would be most convenient for your lifestyle.

Creating Strong Passwords That Are Hard to Guess

A strong password is one that would take a computer an extremely long time to guess. Cybersecurity experts recommend that passwords contain at least 12 characters and include a mix of uppercase letters, lowercase letters, numbers, and symbols. For example, "BlueMountain$47!" is stronger than "password123" because it contains uppercase letters, lowercase letters, numbers, and a special symbol.

The National Institute of Standards and Technology (NIST), which sets security standards for the U.S. government, published updated password guidance in 2017. Their research found that the most important factor in password strength is length. A longer password is more important than complex combinations of letters and numbers. This means that "Correct-Horse-Battery-Staple" would be very difficult to crack because it's 30 characters long, even though it uses only lowercase letters, hyphens, and regular words.

You should avoid certain passwords that hackers try first because they're the most common. According to data from breached password databases, the worst passwords include "123456," "password," "12345678," "qwerty," and "abc123." These appear in nearly every major data breach because criminals try them first.

You should also avoid passwords that use personal information. Don't use your birthday, your pet's name, your child's name, your address, or other details that someone could learn about you on social media or public records. Hackers often try this information because they know it matters to people.

A good approach to creating passwords is using a passphrase—a series of random words strung together. For example, "Purple-Elephant-Dancing-Whisper" uses four random words connected by hyphens. This is 34 characters long and contains uppercase letters, lowercase letters, and symbols, making it very strong. If you use a password manager, you don't need to create passwords yourself—the manager's random generator will do it for you.

For accounts that are especially sensitive—like your email, bank, or password manager—consider making the password even longer and more complex. These are the keys to your most important information, so they deserve extra protection.

Practical Takeaway: Go through your current passwords and identify any that use personal information, dictionary words, or simple number patterns. These are the ones you should prioritize changing first.
