Free Guide to Signing Documents Online With DocuSign

What DocuSign Is and How Online Document Signing Works

DocuSign is a digital platform that allows people to sign documents electronically instead of printing them, signing by hand, and mailing them back. The service converts paper-based workflows into online processes. When you sign a document through DocuSign, you're using an electronic signature—a digital version of your handwritten signature that has legal standing in most situations.

Electronic signatures have been legally recognized in the United States since the Uniform Electronic Transactions Act (UETA) was adopted in 2000. The E-SIGN Act, passed by Congress in 2000, established that electronic signatures, contracts, and records cannot be denied legal effect simply because they are in electronic form. This means that documents signed digitally through platforms like DocuSign hold the same legal weight as traditional paper signatures in most circumstances.

The process works by embedding signature fields into digital documents. A sender uploads a document to DocuSign, specifies where signatures and initials should appear, and identifies who needs to sign. DocuSign then sends the document to the specified recipients, who can open it on their computer, tablet, or smartphone. Recipients navigate to the signature fields, type or draw their signature, and submit the document. The platform records when the signature was added, from which device, and creates an audit trail showing the complete history of the document's signing process.

DocuSign serves multiple industries: real estate professionals use it for purchase agreements, healthcare providers use it for patient consent forms, financial institutions use it for loan documents, and businesses use it for employment contracts. According to DocuSign's 2023 State of Global Workplace Study, organizations that use electronic signature solutions report processing documents 40% faster than those using manual methods.

Practical takeaway: Understanding that electronic signatures are legally binding helps you recognize when DocuSign can replace traditional paper signing in your personal or professional situations. Consider which documents you currently print and sign by hand—many of those could be managed digitally.

Getting Started: Setting Up Your DocuSign Account

DocuSign offers a free tier called DocuSign Standard that includes basic functionality for individuals who need to sign documents occasionally or send them for others to sign. To create an account, you visit the DocuSign website and select the option to sign up. You'll need to provide your email address and create a password. DocuSign will send a confirmation email to verify your address, and once you confirm it, your account is active.

The free account includes the ability to sign documents sent to you by others, send up to three documents per month for others to sign, and store documents in your account for a limited period. If you need to send more than three documents monthly or use advanced features like templates or bulk sending, DocuSign offers paid plans starting at approximately $10 to $15 per month for individual users, depending on your region and the specific plan features.

When setting up your account, you can choose how you want to sign documents. DocuSign offers several signature methods: you can type your name in a standard font, draw your signature using your mouse or trackpad, upload an image of your handwritten signature, or use your mobile device's touchscreen to draw your signature. You can also upload your initials in the same formats. Most users choose to create their signature during the initial setup, though you can modify these later from your account settings.

Security is a built-in feature of DocuSign accounts. The platform uses encryption to protect documents in transit and at rest. When you sign in, you use your email and password. If you prefer additional security, you can set up two-factor authentication through your account settings, which requires you to provide a second form of verification (typically a code sent to your phone) when signing in from a new device.

Your account dashboard shows all documents you've signed, documents awaiting your signature, and documents you've sent for others to sign. From this central location, you can organize documents into folders, search for specific files, and review the signing history of any document.

Practical takeaway: Start with the free tier to determine whether DocuSign meets your needs before committing to a paid plan. Set up your signature preferences carefully during setup, as you'll use these repeatedly, but remember you can modify them anytime.

Signing Documents Sent to You

When someone sends you a document to sign through DocuSign, you'll receive an email notification that includes a link to the document. The email will typically come from DocuSign's notification system and include the name of the person who sent the document. You don't need to have a DocuSign account to sign a document—if you receive a request without an account, you can create one during the process, or some senders allow you to sign without creating an account, depending on their settings.

Clicking the link in the email takes you to the document viewing interface. The document appears on your screen exactly as the sender prepared it, with signature fields, initial fields, date fields, and text boxes already marked for you. Each field typically shows a number indicating the order in which you need to complete them, though not all documents require fields to be completed in a specific sequence.

To sign, you click on each signature field. If you set up your signature during account creation, DocuSign displays your saved signature in the field. You can accept it, or you can create a different signature for this particular document by typing, drawing, or uploading an image. Some fields may require you to add additional information—for example, a date field will prompt you to select a date, and a text field may ask for your printed name, address, or other information.

DocuSign's mobile app makes signing documents straightforward on phones and tablets. The document adapts to your device's screen size, and you can draw your signature directly on the touchscreen. The platform guides you through each field sequentially if you choose, or you can navigate between fields manually.

After you've completed all required fields, you review the document one final time before submitting your signature. Once you click the final submit or finish button, your signature becomes part of the document and cannot be changed. DocuSign then notifies the document's sender that you've signed, and the document is saved to your account's folder for your records.

Practical takeaway: When you receive a signing request, take time to review the entire document before signing, just as you would with a paper document. Understand what you're signing and verify that all pre-filled information is correct, since electronic signatures are legally binding.

Sending Documents for Others to Sign

Sending a document for someone else to sign involves several steps, each designed to ensure the document reaches the right person and contains the necessary signature fields. First, you upload your document to DocuSign. Most common file formats work: PDF files, Word documents, Excel spreadsheets, and image files. Once uploaded, the document appears in DocuSign's editing interface, where you prepare it for signing.

You then add signature fields and other required fields to the document. You click where you want a signature to appear, and DocuSign inserts a field. You repeat this process for additional signatures, initials, dates, or text entries. You can add fields for multiple signers on the same document, and you can specify the order in which people need to sign—for example, requiring person A to sign before person B receives the document.

After preparing the document, you specify the recipients. You enter their email addresses and assign roles: some recipients might be signers, while others might be carbon-copied to receive the completed document but don't need to sign. You can add a subject line and message to the email notification, which helps recipients understand what they're signing and why.

DocuSign allows you to set optional signing deadlines—if you set a deadline, signers receive reminders as the deadline approaches. You can also require signers to authenticate their identity before signing by answering security questions you've created or by verifying information from their driver's license.

Once you've configured all these settings, you send the document. DocuSign emails the notification to each recipient. As recipients sign, you receive notifications. You can monitor the signing progress from your account dashboard, which shows which recipients have signed and which are still pending. After all required signers have completed the document, DocuSign compiles the final, fully-signed version and stores it in your account.

According to research on document processing, companies that switched from paper-based signing to electronic signing reduced their average document turnaround time from 7-10 days to 1-2 days. This acceleration comes from eliminating mail delays, printing, and manual filing.
