Free Guide to Email Auto-Forwarding in Outlook

Understanding Email Auto-Forwarding in Outlook

Email auto-forwarding is a feature that automatically sends copies of your incoming messages to another email address. When you set up forwarding in Outlook, every message that arrives in your inbox gets redirected to a different account while simultaneously remaining in your original mailbox. This means you can receive messages in multiple locations without manually copying or resending them yourself.

Outlook offers auto-forwarding as a built-in tool across its various versions, including Outlook on the web, Outlook desktop applications for Windows and Mac, and Outlook mobile apps. The specific steps to set up forwarding vary slightly depending on which version you use, but the underlying concept remains the same. When a message arrives, the mail server automatically creates a copy and sends it to your designated forwarding address.

This feature proves valuable for several situations. People often use forwarding when they're changing email addresses and want messages sent to their old account to reach their new one. Others forward messages to a work email from a personal account, or vice versa. Some individuals set up forwarding to consolidate multiple email accounts into one location, reducing the number of inboxes they need to check daily. Remote workers frequently forward work emails to personal devices to stay connected while away from their desks.

Understanding how forwarding works helps you use it effectively and avoid common issues. When you enable forwarding, Outlook doesn't delete your original messages—they stay in your inbox. The system simply creates duplicates and sends them elsewhere. This distinction matters because it affects how much storage space your mailbox uses and how you manage your messages across accounts.

Practical takeaway: Auto-forwarding copies your messages to another address while keeping them in your original inbox. Before setting up forwarding, identify which messages you want forwarded and where you want them to go, then choose whether you want originals to remain in your inbox or be deleted after forwarding.

How to Set Up Auto-Forwarding in Outlook on the Web

Outlook on the web, accessible through your browser at outlook.com or your organization's mail server, offers a straightforward method for enabling auto-forwarding. The process involves navigating to your account settings and creating a forwarding rule. This approach works on any device with internet access, making it convenient whether you're at your computer, tablet, or smartphone.

To begin setting up forwarding in Outlook on the web, sign into your account and look for the settings icon, typically represented by a gear symbol in the upper right corner of the screen. Click this icon and select "View all Outlook settings" from the dropdown menu. This takes you to a comprehensive settings page where you can manage various aspects of your email account. From the left navigation panel, select "Mail" and then "Forwarding." This section contains all the options you need to configure message forwarding.

In the forwarding settings, you'll see an option to enable forwarding and specify a forwarding address. Enter the email address where you want your messages sent. Outlook requires this address to be different from your current email account—you cannot forward messages to the same address. After entering the forwarding address, you have two choices regarding your original messages. You can keep forwarded messages in your inbox, or you can have Outlook automatically delete them after forwarding. Most users choose to keep copies in their original inbox to maintain a complete record of their messages.

Once you've entered your forwarding address and chosen your preference for original messages, click "Save" at the bottom of the page. Outlook may ask you to confirm the forwarding address by sending a verification email to that account. Check the inbox of your forwarding address for this confirmation message and click the link inside it. This verification step ensures that someone hasn't mistakenly or maliciously set up forwarding to an unintended address. After confirming, your forwarding becomes active.

Practical takeaway: Access Outlook on the web settings through the gear icon, navigate to Mail > Forwarding, enter your destination email address, choose whether to keep or delete original messages, and confirm the forwarding address through a verification email. This typically takes fewer than five minutes to complete.

Setting Up Auto-Forwarding in Outlook Desktop Applications

The desktop versions of Outlook—whether you're using Outlook 2019, Outlook 2021, or Microsoft 365 Outlook on Windows or Mac—offer auto-forwarding capabilities through the Rules feature. While the steps differ from Outlook on the web, the functionality remains similar. Desktop applications provide additional customization options, allowing you to forward only certain messages based on specific criteria like sender, subject line, or keywords.

In the Windows version of Outlook desktop, locate the "File" menu at the top left of the application window. Click "File," then select "Manage Rules & Alerts." This opens a dialog box where you can create new forwarding rules. Click the "New Rule" button to start the process. Outlook presents you with several template options; select "Apply rule on messages I receive" to create a rule for incoming messages. This template provides the structure needed for auto-forwarding.

After selecting the template, you'll specify conditions for your forwarding rule. You can choose to forward all messages, or you can narrow the scope. For example, you might forward only messages from specific people, messages with particular keywords in the subject line, or messages sent to certain distribution lists. If you want all incoming messages forwarded, select the option that says "Apply to all messages" or leave the conditions blank. Next, specify the action: click "Forward it to" and enter the email address of your forwarding destination.

Mac users follow a similar process. Open Outlook and go to the menu bar, selecting "Tools" and then "Rules." Click "New Rule" and choose "Apply rule on messages I receive." Configure your conditions and specify forwarding just as Windows users do. One important difference between desktop and web versions: desktop Outlook forwarding rules don't include the option to automatically delete original messages. Your forwarded messages always remain in your inbox when using desktop versions. If you want messages removed after forwarding, you can add a separate action to move them to a specific folder or mark them with a flag.

Practical takeaway: In desktop Outlook, access auto-forwarding through File > Manage Rules & Alerts > New Rule. You can forward all messages or specify conditions like sender or subject keywords. Desktop versions keep original messages in your inbox, so consider creating a separate rule to organize them if needed.

Advanced Forwarding Options and Customization

Beyond basic auto-forwarding, Outlook offers several advanced features that let you customize how messages are forwarded. These options help you manage different types of email differently, ensuring that forwarding works the way you want it to. Understanding these capabilities helps you avoid forwarding messages you don't want sent elsewhere and ensures important emails reach you wherever you need them.

One powerful customization involves conditional forwarding, available primarily through desktop Outlook and some web-based settings. Instead of forwarding every single message, you can create rules that forward only messages meeting specific criteria. For instance, you might forward emails from your boss to your phone but not messages from mailing lists. You could forward messages with "urgent" in the subject line to one address while directing routine messages to another. This selective approach keeps your various email accounts receiving only relevant information, reducing clutter and improving your ability to focus on what matters.

Another advanced option involves setting up multiple forwarding rules simultaneously. You're not limited to one forwarding address in Outlook. You can create several rules, each with different conditions and destinations. Perhaps you want work-related messages forwarded to your professional email, personal messages forwarded to your personal address, and messages from specific clients forwarded to a dedicated account you share with colleagues. By creating multiple rules with appropriate conditions, you achieve this multi-destination forwarding that organizes messages based on their origin or content.

Outlook also allows you to pause or disable forwarding without deleting your rules. In both web and desktop versions, you can turn forwarding off and back on as needed. This proves helpful when you're traveling and want to stop forwarding temporarily, then reactivate it when you return. You maintain all your forwarding configurations, so you don't need to recreate rules or remember your settings. Similarly, you can modify rules after creating them—changing the forwarding address, adjusting conditions, or adding new criteria without starting over.

Some organizations use Outlook forwarding in combination with the "Out of Office" assistant feature. While away, you can forward messages to a colleague who can respond to them, while simultaneously sending an automatic reply to the original sender explaining that you're unavailable. This combination ensures messages get handled and
